Refund Policy

The Meridian Club HQ, LLC 

Effective March 2026

MULTI-DAY TRAVEL AND SINGLE SPA DAY BOOKINGS

Your booking is confirmed at the time of registration. A non-refundable deposit is required to secure your spot. This deposit is non-refundable under any circumstances due to the upfront costs we incur to reserve venues, experiences, and accommodations on your behalf.

MEMBER CANCELLATION POLICY

Within 30 days of your date of registration registration:

You are eligible for a refund of your full payment, minus your deposit within 30 days of your original registration date. This does not apply this date falls within 90 days of the event start date. 

More than 90 days before the event start date:

If you cancel more than 90 days before the event, 100% of your payment (minus your deposit) will be applied as a credit toward a future Meridian Club experience, valid for one year from the date of cancellation.

Within 90 days of the event start date:

No refund or credit can be applied for cancellations made within 90 days of the event start date.

Deposit credit option:

Rather than forfeiting your deposit entirely, you may choose to apply it as a credit toward a future Meridian Club event within one year of your original booking date. One one re-booking is allowed per year per member. 

Exceptions may be considered on an individual basis and must be submitted in writing to: contact@themeridianclub.com

HOST CANCELLATION POLICY

The Meridian Club reserves the right, at its sole discretion, to cancel any event in the interest of member safety, acts of God, government directives, or any other unforeseeable circumstance beyond our control. In the event of a host-initiated cancellation, members will receive a full credit applicable to a future Meridian Club experience, valid for up to one year.

Because unforeseen circumstances can arise, we strongly encourage all members to purchase "Cancel For Any Reason" travel insurance prior to any overnight or destination event.

PAYMENT PLANS

If you elect a payment plan, you are entering into a binding agreement with The Meridian Club HQ LLC to pay the total amount outlined at the time of registration, according to the payment schedule provided. By accepting these terms and authorizing your payment method, you confirm that:

Your payment method will remain active, valid, and sufficiently funded for the duration of the payment schedule.

In the event of a declined payment, you agree to provide an alternative valid payment method promptly.

A late fee may be assessed for any missed payment on its scheduled due date.

The Meridian Club HQ LLC reserves the right to cancel or withhold your registration if agreed-upon payments are not received as scheduled. You are legally bound to fulfill all payments on their due dates or via an early lump-sum payment.

LIMITATION OF LIABILITY

You agree that The Meridian Club, its founder, partners, venues, and vendors will not be held liable for cancellations or disruptions resulting from circumstances beyond reasonable control, including but not limited to: acts of civil or military authority, national emergencies, natural disasters, acts of God, epidemic, pandemic, public health crises, insurrection, war, civil unrest, or failures of transportation, communication, or power supply.

TRAVEL INSURANCE

Travel insurance is strongly recommended for all overnight and destination events hosted by The Meridian Club HQ LLC. This protects your investment in the event of illness, injury, family emergencies, or global events that may affect your ability to travel.

We recommend visiting a reputable insurance comparison platform such as InsureMyTrip.com or Squaremouth.com to find the coverage that best suits your needs.

SINGLE SPA DAY EVENTS

Registration for all single-day spa events hosted by The Meridian Club HQ LLC is confirmed at the time of booking. Single-day event registrations are non-refundable. In the event The Meridian Club cancels a single-day event, members will receive a full credit applicable to a future event, valid for one year.
